Google User Data & API Policy Disclosure

Digilabs integrates with Google APIs to enable seamless scheduling and event management for our educational platform.

1. Data Access & Usage Scope

  • Digilabs uses the Google Calendar calendar.events scope (https://www.googleapis.com/auth/calendar.events) to let instructors and administrators create, update, and manage scheduled meeting events (e.g., live class sessions, lab briefings) directly from within the Digilabs platform. Digilabs also requests the basic openid and email scopes only to identify which Google account has been connected.

  • When a meeting is created, Google Calendar generates a Google Meet link, which Digilabs shares with enrolled students so they can join the session.

  • Digilabs only creates and manages events initiated directly within the platform. We do not read, modify, or delete unrelated existing calendar data, and we do not access full calendar lists or personal calendar settings.

2. Sensitive Data Protection & Security Mechanisms

  • All Google user data accessed via Google API scopes is protected using industry-standard administrative, physical, and technical security safeguards.

  • Encryption in Transit: All data transmitted to and from our servers is encrypted using TLS 1.2 or higher.

  • Encryption at Rest: Google OAuth access and refresh tokens are encrypted at the application level before being stored, using Fernet authenticated encryption (AES-128 in CBC mode with HMAC-SHA256). Encryption keys are stored separately from the database.

  • Access Control: Access to personal and sensitive data is restricted to authorized personnel and systems on a need-to-know basis.

  • Ongoing safeguards: We maintain physical, electronic, and managerial procedures to prevent unauthorized access, disclosure, or alteration of your information.

3. Data Retention & Deletion Rules

  • Retention: Digilabs retains Google API access tokens and related event metadata only for as long as necessary to provide scheduled meeting services to your account or as required by applicable laws.

  • Revocation: Revocation: Users may revoke Digilabs’ access to their Google account at any time via their Google Account Security Settings (https://myaccount.google.com/permissions). Users may also disconnect their Google account from within Digilabs, which revokes our access with Google and immediately deletes the stored tokens..

  • Deletion: Upon revocation, account deletion, or upon a written request sent to our support team at support@digilabs.ai , all stored OAuth tokens and associated Google user data will be permanently deleted from our primary servers within 30 days.

4. Google Limited Use Compliance

Digilabs’ use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy , including the Limited Use requirements.

5. AI/ML Requirements Compliance

Digilabs offers AI-assisted features: DigiBot, our learning assistant, and VivaQuest, our separate mock interview and resume analysis platform, which users reach through single sign-on (SSO) from Digilabs.

When a user uses VivaQuest, only their Digilabs portfolio and resume content is shared with it.

  • Google user data, whether raw, aggregated, anonymised or derived, is never shared with DigiBot, VivaQuest or any other AI/ML model or service.

  • Google user data is never used to create, train or improve any AI/ML model, including foundational or general-purpose models.

  • DigiBot and VivaQuest run on self-hosted, open-source language models (Qwen 2.5) within our own isolated infrastructure. Data is processed locally and is never sent to the model providers for training or any other purpose.
